Baseline measurement

What has to be captured before work starts, or nothing is provable afterwards.

What it means

A dated snapshot of where you were on the day the engagement began. Rankings for your target terms, organic traffic, calls and form fills, Business Profile views and actions, and the page inventory that existed.

Without it, every later claim about improvement is an assertion. With it, both sides can argue from the same numbers, which is as much a protection for the agency as for you.

Why it matters in HVAC

The seasonal problem makes the baseline more important here than almost anywhere. A January baseline against a July report will show enormous growth on a cooling book with no work performed at all.

The fix is to capture a full trailing year at the start rather than a single month, so every later comparison can be made against the same month last year.

How to check it

Ask for the baseline as a dated document in the first month, with the trailing twelve months included. Keep your own copy somewhere the agency does not control, because if the relationship ends badly the dashboard usually goes with them.

Why you keep your own copy

RYNO Strategic Solutions runs its own analytics platform, RYNOtrax, integrated with ServiceTitan and more than thirty other tools. HVAC Webmasters runs DataPins, which pushes completed job data onto client service pages. Both are genuinely useful and both are the agency’s property.

When an agency is acquired, the parent standardises the platform. Blue Corona clients moved under the RYNO brand after the October 2024 merger, and Levergy clients moved under KickCharge after February 2025. Historical reporting does not always survive a migration intact.

Exporting your own baseline and your own monthly figures into a spreadsheet you keep costs an hour a month and is the only version of your history that nobody else can retire.
